
Sungrafx tailors each and every project to our client’s specific needs. Below is a base process to help us to get to know our clients better and familiarize them with the creative process.
Consultation: Sungrafx offers a free one hour initial consultation during which we conduct a company profile to become familiar with the client to better define their graphic design and promotional needs. We do not bill potential clients for initial consultations, emails or phone calls in which we discuss the aims and needs of a project. Proposals are available at no charge. Marketing and business development consultations will be billed at an hourly rate.
Rates: Design rates are charged on an hourly basis. Minimum billing will be charged by the quarter hour. Industry standard print production fees apply.
Proposal: A proposal is an estimate based on an initial consultation and proposed promotional strategy prior to any design and development. Proposals will detail estimated costs for labor and/or print production. The proposal can be scaled or tailored to specific budgetary requirements.
Order Verification: Exact price quotes will be supplied on a project-by-project basis and will define labor, print specifications, size, quantity and distribution methods. Payment terms and conditions will be clearly outlined. No work will be performed without a signed Order Verification. For your protection all production parameters and delivery dates will be clearly outlined via a formal Sungrafx Order Verification. If verbal agreements are made, all Sungrafx policies and procedures will be applied and charged accordingly.
Change Order: Will be issued as a supplement to an original Order Verification if the scope of the project changes radically. A client signature constituting acceptance of increased labor or print modifications is required.
Retainers: On long term contracts or business development, marketing and advertising proposals, the client may be asked to pay an up-front retainer fee to Sungrafx prior to developing any marketing plans or design prototypes. Sungrafx subtracts from the retainer the hourly billing rate until the retainer is depleted.
Deposits: A 50% deposit on all finalized Order Verifications for design, web development or print media will be required prior to production. Deposits will be applied to the final billing Invoice of the specific project.
Contracts: Extensive promotional packages and web site development will require a written contract. The contract will clearly define the parameters of a project, client expectations and responsibilities as well as Sungrafx responsibilities and delivery dates. The contract will be reviewed with the client and signed, if all is agreed upon, copies will be distributed accordingly. The client will be notified when any project goes outside the scope of the defined parameters and necessary pricing adjustments will be revised in written format.

All design projects will proceed in the following order. The client will be notified of any extra labor charges that will be incurred for all work outside the defined project parameters or scope.
- Define Delivery Date: The timeline, proofing process, production and launch or delivery dates must be clearly outlined prior to any production. Delivery dates may be subject to change based on content delays, scope change or circumstances beyond Sungrafx control.
- Collect All Content: It will be defined whether the client or Sungrafx will be responsible for content collection and organization of all text, photography (stock or custom) and graphics.
- Photography: It will be outlined as to whether digital or traditional photographic media will be used. Options include stock photography research and usage, or a custom on-location shoot of environment, personnel, products or studio shots. Photography services will be priced out accordingly unless supplied by the client in the properly defined format. Scanning fees may apply for supplied reflective and transparent photographic media.
- Copywriting/Typesetting: Responsibilities will be defined in advance as to whether media content is to be supplied in a usable format from the client or copy written and typeset by Sungrafx.
- Identity Development: Applies to logo creation and corporate identity packages. Once the logo design is established, the identity will be consistently carried through all other forms of support media created by Sungrafx.
- Create Custom Graphics, Charts, Tables, Forms: Labor for creation of custom graphics will be defined and applied to design of collateral media such as newsletters, brochures, web sites, presentations, etc.
- Design Concepts: Production will begin based on defined size, color specifications, size, integration of all text, photography (stock or custom) and graphics.
- Working Comps: The client will be shown a working prototype (actual size, color, folding, web site shell, etc.) of their proposed finished product, fully laid out containing all agreed upon collected materials.
- Proof Reading: The client will be responsible for proof reading all text and graphic elements of a project. Professional proof reading fees will apply if this service is specifically requested by the client.
- Changes/Modifications: Alterations to projects in production will be clearly defined, dated and indicated in writing only. A “Change Order” may be required if original scope is radically changed.
- Approval: Once the design and content is approved, the client will be asked for a final sign-off. This sign-off constitutes the client’s final acceptance of the project prior to print production or posting. Sungrafx, Inc. will not accept responsibility for typographical errors that are missed and/or not indicated on a signed proof that has been sent into print production.
- Final Pre-Press and Print Production: Final quantities will be verified and deposits collected prior to any print production.
- Delivery/Distribution/Posting: Upon completion of a successfully defined project the client will be invoiced with payment terms outlined. Printed materials will be available for pick-up at the Sungrafx office or will be shipped to the client (shipping fees may apply if not determined prior). Delivery can be made upon request.
